The Administrative Specialist will accurately input client information into client databases. Review employee timecards for errors. Communicate to timecard supervisors and Director of Operations timecard errors and concerns. Respond to all inquiries in a timely, professional and courteous manner referring employees to other departments for inquiries outside the scope and knowledge of the position. Maintain and update appropriate forms and files in a timely manner. Coordinate and prepare materials related to hiring, employee orientation, training seminars and recognition events. Serve as a source of information for other employees, clients, foster families, and volunteers in both a professional and technical manner. Courteously and promptly direct or provide assistance to callers/visitors. Accept, post and distribute mail efficiently and accurately. Maintain office supplies for Area mailroom. Maintain general upkeep of the Area mailroom/kitchen area. Troubleshoot and correct problems with office equipment (i.e. copy machine) and ensure that appropriate vendors are called to repair office equipment. Set up and coordinate meetings and conferences. Take, create, transcribe and distribute meeting agendas and minutes. Maintain guidelines and policies as established by the funding sources and Toomey Residential and Community Services. Represent the agency in a positive and professional manner.
This is a Full Time Position Monday-Friday 8:30am - 4:30pm
1-3 years of relevant experience, Associate’s degree preferred. Valid N.Y.S. driver’s License with reliable transportation, registered and insured vehicle. Must be able to use personal vehicle for work purposes. N.Y.S. Child Abuse Registry clearance. Proficiency in Microsoft Office including excel, detailed and accurate data entry, web based databases, ability to operate general office equipment, creative problem solving, customer service skills, oral and written communication skills, and confidentiality.
