Responsibilities

The Administrative Program Manager will oversee and coordinate the review of case files, ensure appropriate documentation and billing, and prepare for monitoring and audits.

 

Essential Functions/Responsibilities:

  • Review case files according to a regularly established schedule to ensure compliance with Department of State/PRM Cooperative Agreement regulations and timelines. Report significant discrepancies to Program Director and request corrections and additional information as appropriate from Case Management staff.
  • Review case files according to a regularly established schedule for all New York State grants, including proper submission of points in the BIN system. Ensure appropriate and correct billing. Report significant discrepancies to Program Director and request corrections and additional information as appropriate from Case Management and other direct service staff.
  • Review grant timelines and progress to ensure adherence to funding sources’ guidelines and expectations.
  • Review service provision through review of case files and other service provision tracking lists. Report any missing services immediately to the Program Director and ensure follow-up.
  • Prepare for monitoring and audits conducted by the funding source, through regularly scheduled case file review and review of service delivery.
  • Ensure proper documentation of all reviews and monitoring efforts through completion of established monitoring tools.
  • Educate staff on best practices in case notes, case file documentation, and adherence to deadlines as well as common mistakes or areas of concern. Promote the importance of timely and thorough documentation of services.
  • Work as a team with other staff to ensure appropriate and compassionate service delivery for all refugees served by the agency.
    Other duties as requested by the Program Director and Program Officer.

Qualifications

Education and/or Experience Required at Entry: Bachelor’s degree and 3-5 years of relevant experience. Experience working with New Americans. Understanding of diverse cultures strongly desired.

 

Licenses/Certificate/Clearances: Criminal background check, State Central Register Clearance. DOJ Accreditation.

 

Working Conditions and Environment/Physical Demands: Mobility sufficient to drive to and participate in meetings at client’s homes and/or community facilities which may not meet Federal accessibility standards for disabled individuals. Manual dexterity sufficient to work with clients in a challenging and active environment.

 

Required Trainings: VIRTUS, Corporate Compliance, Defensive Driving, Core Updates
